Whitecroft Lighting Roadshow

A UK roadshow enabling Whitecroft Lighting to launch its new Smart Lighting solution to sales teams and customers.

The Challenge

Zentive was brought in by resource, a creative communications agency, to support its client and manage the logistical delivery of a UK-wide roadshow which was to be hosted in 6 different cities (Bristol, Birmingham, London, Belfast, Glasgow & Manchester).

The events needed to work for both internal sales teams and customers, with venues that were accessible and suitable for a full booth build. Each location had to support a clear event flow, from welcome food and drink through to a product launch presentation and networking around dedicated discovery zones.

Venue choice was key. Each space needed to suit varying attendee numbers while giving the build team practical access for loading in, setting up and removing the event kit.

The Approach

Zentive took over several venues at the contracting stage and sourced alternative options where needed to make sure each city had the right setting for the roadshow.

Venues selected ranged from Glaziers Hall in London to the Titanic Whiskey Distillery in Belfast.

The team managed venue liaison, contracting, catering, access planning, load-in and load-out coordination, and all onsite documentation. This included health and safety files and RAMS, giving each event team the information they needed to deliver smoothly on the day.

Zentive worked closely with resource and the wider delivery team to keep the roadshow consistent across all 6 locations, while adapting each plan to the practical needs of the venue.

The Result

The roadshow delivered six successful events across the UK, giving Whitecroft Lighting the right environments to introduce its new Smart Lighting solution to both internal teams and customers.

Three of the events combined an internal sales launch during the day with an evening customer event, helping the client make full use of the bespoke booths and create a consistent experience for both audiences.

Along the way we came across logistical challenges such as London Tube Strikes and Belfast Protests which unfortunately affected our attendance numbers and increased the dropout rate. However, since the completion of the roadshow, Whitecroft Lighting has received several strong leads and enquiries from potential customers who attended the events deeming the roadshow a current success for the business.
