Project Coordinator - FTC

We are looking for an project coordinator FTC to support on our upcoming events.

 

This is a fixed term 3-month contract with the possibility to extend.

The role is UK remote based, Monday-Friday 9am-5:30pm with time spent in the client offices as and when required.

You must have the ability to travel freely within Mainland Europe, the UK and Overseas.

Your key responsibilities will include (but are not limited to):
  • Supporting all aspects of the event from the initial venue source and cost negotiations to registration form creation and supplier liaison.

  • Consistent professional communication and co-ordination of all delegates attending client events.

  • Creation of event proposals to a professional standard using templates provided.

  • Production and implementation of event specific project plans.

  • Management of all registration forms, delegate communication, flight and transfer bookings.

  • Managing hotel liaison regarding meeting requirements and specifications to meet/exceed client expectations.

  • Liaising with preferred suppliers to assist with ground transfer requirements and production elements such as AV/Translation.

  • Creation of onsite files/documents/stationery for the client.

  • Attending weekly conference calls with the client to provide progress updates and highlight upcoming action points.

 

As with any portfolio of events, there is potential for onsite delegate and logistical management should this be requested by the client. This will be discussed on an event-by-event basis.

What do you bring to the table?
  • Experience of event registration processes and logistical management.

  • A strong understanding of venue sourcing in the UK (specifically London) and cost negotiation.

  • Excellent communication skills with all stakeholder levels as well as external vendors.

  • Knowledge of Cvent and Google Forms is preferred.

  • Ability to work in a fast-paced environment and manage multiple projects and stakeholders simultaneously.

  • Excellent time management skills with the ability to work to tight deadlines.

  • A strong work ethic, and great attention to detail.

  • Educated to a degree level (or equivalent experience) in the events industry.

  • Have at least one years’ experience working within a similar role preferably within an agency setting.

​

Due to the FTC nature of this role, you will be required to provide your own laptop and phone for use during the planning stages of the events. You will be reimbursed for any additional costs related to these.

Salary

£26k - £30k PA
