Uniting innovation & investment for Northern Gritstone and DeepTech Labs

The Challenge

When Northern Gritstone and DeepTech Labs made the strategic decision to merge their Annual General Meeting and Innovation Showcase into a single, high-impact day, the objective was clear, but far from simple.

Both organisations had distinct audiences and stakeholder priorities, with different data sets, branding, and communications strategies. The challenge lay in bringing these groups together under one event experience while maintaining strict data privacy between the two organisations, avoiding duplicate invitations to overlapping contacts, delivering a seamless user experience tailored to each brand, and prioritising VIP and key stakeholder attendance in a limited-capacity venue.

In short, the event needed to feel like a true collaboration without compromising the integrity of either party’s guest experience.

The Approach

Our team created a bespoke solution that balanced complexity with clarity.

 

A fully branded registration site was developed with two distinct invitation pathways (one for each organisation). This allowed for tailored branding, messaging, and data capture while maintaining a unified event identity. Custom emails were created and sent from separate email domains, ensuring that each invitee received communication aligned with the organisation they were affiliated with.

Data cross-referencing was key. We carefully audited both invitation lists to flag and remove any duplicates, preventing individuals from receiving multiple invites from both parties. An approval workflow was implemented during registration. This allowed both Northern Gritstone and DeepTech Labs to review and prioritise guest attendance, ensuring space was given to high-value stakeholders and decision-makers.

Secure data capture was built into the registration process, collecting key attendee information while ensuring privacy and compliance across both data sets.

The Result

The event delivered a seamless, professional experience that created value for both organisations and their guests. By respecting data boundaries, elevating brand identity, and implementing strategic data management, we achieved strong attendance from priority stakeholders while presenting a unified event that authentically reflected both brand’s identities.

Efficient and secure data handling ensured there was no duplication or visibility crossover, while clear, targeted communications enhanced guest engagement throughout the entire journey. Beyond the immediate outcomes, this event demonstrated the power of thoughtful collaboration, setting a benchmark for how organisations with shared goals can work together successfully, without compromising their individuality.
