
Multi-day Health Conference
A hybrid event in London’s city centre, bringing together scholars, practitioners, and experts to explore areas of prediction sciences for health.
The Challenge
Zentive was brought in midway through the project to take over full delivery of the multi-day conference. The challenge was to ensure a seamless transition, deliver a high-quality event, and embed sustainability and accessibility values across logistics, communications, and delivery without disrupting attendee experience.

The Approach
Zentive took over the project after a venue had been secured and registration launched. Our role was to manage all event logistics and ensure the conference ran smoothly from start to finish.
We began with a detailed handover call and a site visit to fully understand the event spaces and existing plans. As registrations increased, we coordinated delegate travel, according to best-practice prioritising the most direct, lower-emission options wherever possible.
Sustainability goals were set early in our involvement and embedded into event communications and operational processes. Clear, persuasive pre-event messaging encouraged delegates to choose public transport and low-impact travel options while ensuring accessibility needs were fully supported.




The Result
Delegates from around the world attended the event at an accessible central London location. Excellent transport connections meant international attendees arriving into London Heathrow could travel directly to the venue via the Elizabeth line in under 40 minutes. UK-based delegates travelled by train, significantly reducing transport-related emissions.
Thanks to clear sustainability-led communications, only one car transfer was required which was arranged to meet specific accessibility needs.
The main conference sessions were hosted in the hotel’s grand halls, providing an elegant and immersive setting. Sessions were streamed live to virtual participants, increasing accessibility and enabling wider participation for those unable to attend in-person.
A fully vegetarian menu was served throughout the three days, including a three-course evening dinner in a regal dining hall. This simple but effective decision reduced catering-related emissions by approximately 70%.
Overall, the event demonstrated how thoughtful planning and small, strategic changes can significantly reduce environmental impact while enhancing accessibility and delegate experience through Zentive’s expertise in this area.
